Travel request form
The questions the silentVIP portal asks when someone requests a trip, in the same order and with the same labels. Use it to collect trip details from travelers before anyone books, or as the paper version of a request.
The request
- Traveler (required)
Who is traveling, as named on their traveler profile. An assistant can request trips only for the travelers delegated to them.
- From (required)
The city or airport the trip starts from. Up to 80 characters.
- To (required)
The city or airport the traveler is going to. Up to 80 characters.
- Departing (required)
The date of the outbound journey. It can't be in the past.
- Returning
Leave it blank for a one-way trip. It can't be before the departure date.
- Purpose of trip (required)
A short reason, such as a client meeting or a site visit. It's kept on the trip record. Up to 200 characters.
- Department
The department the trip is allocated to. Leave it blank to use the traveler's own department.
- Project code
Only if your company uses project or cost codes: one of its active codes. The portal shows this field only when the account has codes.
- Flights, hotel or both, and anything we should know
For example: flight and hotel, a hotel near the client's office, arriving before 10am, a checked bag. Up to 2,000 characters.
- Requested by
Not asked in the portal, which records who sent the request from their sign-in. Fill it in when someone requests a trip for another person.
What happens next
Your silentVIP team sends options to compare, checked against your travel policy, within 4 business hours. The traveler or booker chooses one. A choice that's out of policy goes for approval: see the approval matrix. Travelers can also call or email our team, who enter the same request for them.
