How we use information
We use personal information to respond to introduction requests and to provide and manage travel for our clients.
- Responding to you: to review your request, contact you and arrange an introductory conversation.
- Providing travel services: to book, change and manage travel, keep traveler profiles and preferences, apply company travel policies, and communicate with travelers and suppliers.
- Running the client portal: to sign you in, show your trips, requests, traveler profiles and documents, and tell you when we reply.
- Recruiting and partnerships: to review job applications and contact applicants, and to respond to partnership enquiries.
- Understanding our website: to measure visits, see which pages and campaigns bring people to us, and improve the site.
- Running our business: for record keeping, accounting, security, fraud prevention, and meeting legal, regulatory and industry obligations, including those that apply to IATA-accredited agencies.
For visitors and clients in the EEA, UK and Switzerland, our legal bases are: performing a contract or taking steps at your request before one; our legitimate interests in running and improving our business; your consent for non-essential cookies and analytics; and compliance with legal obligations. We do not sell personal information for money.
International transfers, retention and security
Transfers. We operate in the United States and Australia, and our providers process data in the United States and on Cloudflare's global network. Travel bookings necessarily send traveler data to suppliers in the destination countries. Where the law requires, we use appropriate safeguards such as standard contractual clauses.
Retention. We keep introduction requests, partnership enquiries and job applications for as long as needed to respond and follow up. We keep client and booking records for as long as needed to provide services and to meet legal, tax and industry record-keeping requirements. We keep website analytics events for as long as they help us understand how the site is used, and Google Analytics data under the retention period set in its settings.
Security. The website is served only over HTTPS with modern TLS (1.2 or higher) and strict security headers. Form data, documents and analytics are stored with access limited to authorized staff. The client portal and staff pages require a single-use sign-in link sent by email, and each client can see only their own account. No system is completely secure, and we will notify affected people and regulators of a breach where the law requires.
Your rights
Depending on where you live, you may have rights over your personal information. To use them, email support@silentvip.com. We will verify your request and respond within the time the law requires. We will not treat you differently for using your rights.
- United States: residents of California and other states with privacy laws may have the right to know, access, correct and delete personal information, and to opt out of its sale or sharing for targeted advertising. An authorized agent may make a request on your behalf.
- Australia: under the Privacy Act 1988 and the Australian Privacy Principles, you may access and correct the personal information we hold about you. You can complain to us, and if you are not satisfied, to the Office of the Australian Information Commissioner (OAIC).
- EEA, UK and Switzerland: you may have the right to access, correct, delete, restrict or object to processing, to data portability, and to withdraw consent at any time. You can also complain to your local data protection authority.
Children, changes and contact
Children. Our website is not directed to children, and we do not knowingly collect children's information through it. When parents or guardians ask us to book travel for a child, we collect the child's details from them and use those details only to arrange the travel.
Changes. We may update this policy, and the date at the top shows the latest version. If we make material changes, we will post them here and, where appropriate, tell clients directly.
